Q. Does BOLT do the scanning for us or do we do our own scanning?
A. Both. BOLT scan bureau services can scan and index your documents (all types and sizes) and return them to you on searchable CDs. We can also provide you with a system that allows you to scan, index, and manage your information yourself.

Q. We are a small company. Isn't a document imaging system something only big companies need or can afford?
A. Not at all. Because our systems are scalable we can make world-class document imaging affordable (even for single-users) and allow for growth all the way to a full enterprise-wide system in the future.

Q. Is it necessary to scan all of our existing records?
A. No. How much (if any) of your existing records you will want to scan depends on a number of factors including how often do you need to access them, how much time are you spending searching for them, what are the retention requirements for them, etc? Many companies start capturing information into their new system on a day-forward basis.

Q. A salesman is trying to sell me a fancy new multi-function copier/scanner/printer and he tells me that it will do document imaging, is that true?

A. That depends on your definition and expectations for document imaging. That multi-function machine can scan documents and store them on a computer (server) hard drive. Unfortunately, the multi-function machine performs 'blind scanning' and you sacrifice most or all of the powerful record management capabilities found in a computer-based solution. Since you are interested enough to have come this far do yourself a favor and ask BOLT for a demonstration of LaserFiche. The difference will be clear and you'll be glad you did!

Q. Is a LaserFiche imaging and records management system hard to use?

A. No. The LaserFiche user interface found in systems from BOLT provide the look and feel for Windows Explorer and are very intuitive. BOLT works with every client in the initial system configuration to help ensure that your system is exactly right for you.

Q. All of the benefits of a LaserFiche system sound great. Our concern is how much work is required to scan and index our documents. What can you tell us about that?
A. It does involve a certain amount of work to prep, scan, and index your documents. As a general rule our customers tell us that they spend about the same amount of time to prep, scan, and index documents as they used to spend filing them manually. Some types of documents may be an exception to the general rule and we can provide a scan analysis of your documents to provide more accurate information.

Q. Can LaserFiche be integrated to work with our existing business software?
A. In almost every case the answer is yes. LaserFiche provides a number of different approaches to integrating to both PC-based and mainframe-based applications. LaserFiche can also be made to link or reference your existing database(s) to populate index fields and validate information.

Q. Our present business software offers an add-on imaging module. Why would I choose LaserFiche over it?
A. At first blush the add-on approach might make sense. You are dealing with a vendor you already know and his or her package is designed specifically to attach to your application. Also, it's possible that there may be a slight price advantage. On the downside, you are buying a 'canned' application that will only do imaging the way their programmer decided you should. You are giving up the powerful features, capabilities, and flexibility of LaserFiche along with its' ability to work in many different ways with may types of documents and records. You very likely will regret not having selected LaserFiche down the road when you want to expand the system and use it for other purposes.

Q. We are interested in making our documents and records available over the Internet. Can LaserFiche do that?
A. Yes. LaserFiche offers several add-on modules that allow both access to and management of your documents over the Internet.

Q. Can just anybody access sensitive information in our system?
A. Not with a LaserFiche system from BOLT. LaserFiche provides powerful control over access and user rights for documents stored in it. Using user names and passwords you can manage exactly what someone can see and what they can do with it.

Q. Our organization has been imaging records for many years using microfilm. Is there any way to convert the microfilm records to a digital format?
A. Yes. BOLT provides scan and index services to convert microfilm, microfiche, and aperture card records to digital format. When we publish the conversion to LaserFiche portable volumes you can attach them directly to your own LaserFiche system without any additional processing. In many cases BOLT can even improve the quality of your old film-based records during our conversion process.

Q. We already use a digital document management system from another company. Your demonstration has convinced us that LaserFiche is far more powerful and useful than what we have now. Our concern is can the records stored in our system be converted into a new LaserFiche system?
A. Yes. BOLT has replaced many other digital imaging systems with a more powerful, easy-to-use LaserFiche system. As part of most of these projects we have converted the old system data and imported it into LaserFiche.

Q. Will a LaserFiche system from BOLT be compliant with regulations governing our records?
A. There is no such thing as an out-of-the-box compliant application. Compliance is a combination of what you use and how you use it. Having said that, LaserFiche provides powerful features that make it an idea management tool for your compliance plans. We are happy to work with you and your staff to satisfy your compliance requirements using your LaserFiche system.

Q. Can we destroy our paper records after we have scanned them?
A. In many (not all) cases the answer to this question may be yes, given the right system and the proper procedures. Because there are many rules and regulations governing document and record retention and preservation you should consult your legal council before making final decisions.

Q. We are looking for a system that can provide us with the ability to manage the flow of information through our organization. What about that?

A. LaserFiche offers add-on modules for workflow and agenda management. Remember, the base LaserFiche product provides the foundation that supports many other functions and abilities. In fact, the base LaserFiche product can be used to perform ad-hoc workflow directly out of the box..

Q. Approximately how long does it take for a LaserFiche system to pay for itself?
A. Every system and customer are different and there is no hard-set rule. We generally try to deliver a system that pays for itself in a one to two year window. Many of our customers report that they feel their system has paid for itself well before the first year is up.
