The Benefits of Digital Document Imaging...
If you think that digital document imaging is just another way of storing documents, think again! Paper-based information is 'prisoner' to the paper it is stored on. To access the information it is necessary for someone to actually 'touch' (find and retrieve) the paper document. Remember, productive work only happens when you are working with information - not during the time spent filing, searching, and managing the paper!
Digital document imaging empowers your information by 'lifting' it from the paper as a digital image that can be efficiently stored and easily distributed over networks and even the Internet. Imaging allows you to bring the information to you instead of you having to go to it. And while more than one person can access the same information concurrently, nobody can remove or misfile the documents or folders from their proper location in the system.

The digital images can be indexed and searched many different ways using powerful search engines. Information embedded within the documents can be processed for use with many other applications. It is even possible to link the digital images to other computer applications for tight integration of all of your business information.
Digital imaging also permits you to maintain failsafe archives and disaster recovery of your paper-based records and documents. By implementing rotational off-site storage of your digital back-up media you are protecting it from damage or loss due to fire, flood, tornado, vandalism, and more. And, unlike film-based imaging, copying or migrating your archives to future media is simple and does not result in degradation of the original images.
A good digital imaging system stores
more than just images of your paper documents. It can become a repository
for all of your unstructured information including computer files in their
native format (such as word processors, digital photos, sound files, video
files, etc.). Users can now organize information stored on their computer
or network by subject rather than by application. This results in a much
more intuitive and efficient method of organizing and storing information
from a variety of sources and/or applications.
